Meeting Room Layout Options
Peter White Public Library seeks to offer you a consistent meeting room experience. Starting in January 2025 room setups in the Heritage Room and George Shiras III Room will be limited to four standard options. Setup details and photos are below.
Additional Equipment: It is important that any additional equipment needed for your room reservation is indicated on your reservation form. Staff may not be available to find additional equipment for you on the day of your reservation.
If adjustments to room setup are made during the reservation, we ask that you return the room to the way you found it.
Medium Capacity Rooms - George Shiras III Room and Heritage Room
Each of these rooms come standard with:
- 8 flip-top tables
- 45 chairs
- Podium
- Integrated technology (projector and screen). Please test technology prior to your meeting!
Please wipe tables using provided cleaning kits and pickup trash prior to leaving the room.
Board Room Setup includes 8 tables setup in a rectangle with chairs around the perimeter. This setup is ideal for meetings where conversation is the primary focus. If the projector/screen are being used, less seating is available at the front of the room.
Max Seated Capacity (at table): 24
Empty Room Setup use this setup for events where your group prefers to setup the room on your own. Or, you don't need tables and chairs for your event. The room will contain 8 tables and 45 chairs to work with. These cannot be removed from the room to create more space.
Classroom Setup includes 8 tables and 24 chairs. Chairs are setup facing the drop down screen. This setup is ideal for workshops and training sessions where participants are listening to a presenter and need tables to work on.

Presenter Setup includes 45 chairs setup facing the drop-down screen. This setup is ideal for presentations with a speaker. No tables are included in this setup.

Large Capacity Meeting Room - Community Room
Banquet Setup includes up to 13 - 8' round tables. Tables can be set with up to 6 chairs around them. This setup is ideal for events where food or conversation are integral components. If you have a speaker, we recommend adding a microphone to your setup request. (Please note: with all 13 tables the room is quite full and there is not much space to navigate between chairs.)
Max Seated Capacity: 78
Classroom Setup includes up to 12 rectangular tables with chairs on one side facing the state. This setup is ideal for workshops and hands on events with a presenter or video at the front of the room. If you have a speaker, we recommend adding a microphone to your setup request.
Max Seated Capacity: 48
Presenter Setup includes up to 114 chairs setup facing the drop-down screen. This setup is ideal for presentations with a speaker. If you have a speaker, we recommend adding a microphone to your setup request.

Max Room Capacity: 125 (max chairs 114)
Theatre and Refreshment Setup includes up to 114 chairs setup facing the drop-down screen. It also includes 2 rectangular tables setup at the back of the room for refreshments or other items. Table linens and large capacity coffee urn are available for an additional fee (pending availability). If you have a speaker, we recommend adding a microphone to your setup request.
